Privacy Policy

Last updated: 16 October 2026

This Privacy Policy explains what personal data CoachEaze collects, why, and the choices you have. CoachEaze is operated by DGIPlay Pvt. Ltd.. We follow India's Digital Personal Data Protection Act, 2023 (the DPDP Act).

In short: we collect only what an academy needs to run, we never sell personal data, and face check-in is optional.

Who decides what data is collected

Each sports Academy sets up CoachEaze and decides whose data is added: its Chief Coach, coaches, students and parents. The Academy is responsible for that data (the "data fiduciary"), and we process it on its behalf. Children's details are added with the consent of a parent or guardian.

What we collect

  • Account details: name, email, phone number, role and the Academy you belong to.
  • Student records: batch and centre, attendance, fees and payments, skill ratings and coach notes, badges and homework.
  • Face data (optional): if face check-in is used, a photo is turned into a numeric "face signature" used only to match attendance. Signatures are stored encrypted.
  • Location (only at check-in): when a coach checks in, the phone's location at that moment confirms they are at the centre. We never track location in the background.
  • Payment details: for Academy subscriptions, our payment partner Razorpay handles the card, UPI or bank details. We receive only the payment status and reference.
  • Technical data: basic logs (such as device type and error reports) needed to run and protect the Service.

How we use it

  • To run the Academy's day-to-day work: batches, attendance, fees, salaries, progress and announcements.
  • To confirm coach attendance using face match and the centre's location at check-in.
  • To send useful messages, such as consent emails, fee reminders, homework and leave updates.
  • To keep the Service secure, fix problems and meet legal duties (for example, keeping invoices).

We never sell personal data or use it for third-party advertising.

Children

Many students are under 18. Their details are added by the Academy, and a parent or guardian gives consent by email before the account goes live. A parent or guardian can ask to see, correct or delete their child's data at any time.

Who we share data with

  • Inside your Academy: with the Chief Coach and coaches who need it.
  • Service providers who work for us under contract: cloud hosting (Microsoft Azure, India region), email delivery and payments (Razorpay).
  • The law: when we are legally required to, or to protect someone's safety.

How we protect it

Data travels over encrypted (HTTPS) connections. Passwords are stored only as one-way hashes, face signatures are encrypted, and each Academy's data is kept separate from every other Academy's. Access is limited by role. No system is perfectly secure, but we take strong, reasonable measures.

How long we keep it

  • Data is kept while the Academy's account is active.
  • An unpaid trial Academy is closed 30 days after its trial ends. A paid Academy that stops renewing is closed after 12 months.
  • When an Academy is closed, personal data is deleted or anonymised. We keep only what the law requires, such as invoices, consent records and the Chief Coach's contact details as a business record.

Your rights

You can ask to access, correct or delete your personal data, withdraw consent, or name someone to act for you. Email support@coacheaze.com from your registered email address, and we will reply within 30 days. You can also ask your Academy directly.

App permissions

  • Camera: only for face check-in, group attendance photos and profile photos.
  • Location: only at the moment a coach checks in.
  • Notifications: for reminders and updates you can switch off.

This website

coacheaze.com does not use advertising or tracking cookies, and we do not collect personal data on it unless you email us.

Grievances

If you have a concern about how your data is handled, write to our Grievance Officer at support@coacheaze.com with the subject "Privacy grievance". We acknowledge every grievance within 48 hours and aim to resolve it within 30 days. If you are not satisfied, you can approach the Data Protection Board of India.

Changes

We may update this policy. The date at the top shows the latest version, and we tell you about important changes in the app or by email.
